1. Information we may collect
Depending on how you engage with the Academy, we may collect your name, phone number, email address, city, sports interests, event participation details, volunteering or partnership information, donation records, and communications with our team.
When necessary for accessibility, classification, athlete support, safety or participation, we may request disability-related information, assistive-device requirements, emergency contact information, or limited health information. Such information should only be collected for a clear purpose and with the appropriate consent.
2. How we use information
We may use personal information to respond to enquiries, organise training and events, assess athlete support needs, coordinate volunteers, communicate programme updates, process donations, issue receipts, maintain compliance records, improve accessibility, and meet applicable legal obligations.
3. Disability and health information
Information about disability, health, medical conditions or accessibility needs is treated with care. It should be accessed only by authorised personnel or relevant service providers who need it for athlete welfare, participation, safety, classification or reasonable accommodation.
4. Children and guardian consent
Where an athlete or participant is under the age applicable for independent consent, we require the involvement or consent of a parent or legal guardian before collecting or using information beyond what is reasonably necessary to respond to an enquiry.
5. Payment information
Donations made through the linked Getepay portal are processed on the payment provider’s own system. Payment-card details, UPI credentials, passwords and one-time passwords should be entered only on the authorised payment page. The Academy’s website does not ask visitors to send card details, passwords or OTPs by email or message.
We may receive transaction references, donor contact details, donation amounts or status information needed to acknowledge donations, issue receipts and complete statutory reporting.
6. When information may be shared
We do not sell personal information. Athlete registration, volunteer applications, and partnership enquiries are transmitted through FormSubmit, a third-party form-delivery service, so the details can reach the Academy email inbox. FormSubmit states that submissions may be retained for up to 30 days. Information may also be shared when reasonably necessary with authorised coaches, event organisers, physiotherapists, accessibility support providers, payment processors, professional advisers, CSR partners receiving appropriately limited programme reports, or government authorities where disclosure is required by law.
7. Security and retention
We aim to use reasonable organisational and technical safeguards appropriate to the information handled. Information is retained only as long as necessary for programme administration, donor records, safeguarding, dispute resolution, reporting or applicable legal requirements.
8. Your choices
You may contact the Academy to request access to, correction of, or deletion of information where applicable and feasible, or to withdraw consent for optional communications. Some records may need to be retained to meet legal, tax, safety or administrative obligations.
9. Cookies and external services
Website hosting, embedded content, analytics, social-media links and payment services may use technical cookies or similar technologies. External providers apply their own privacy notices and security controls.
